Privacy Policy — Workfused SRL (Beta Program)

WORKFUSED SRL ("Workfused", "Company", "we", "us", or "our") respects your privacy. This Privacy Policy explains how we collect, use, store, and protect information when you access or use our AI Vocal Agent services (the "Services"), including during our Beta Program.

By using the Services, you agree to this Privacy Policy. If you do not agree, do not use the Services.

1. Information We Collect

We may collect the following types of information when you use our Services:

  • Account Information: Name, email, login credentials, and billing details.
  • Service Usage Data: Minutes usage, call metadata (duration, status, timestamps), transcripts, and recordings (where legally permitted).
  • Customer Content: Data, scripts, prompts, CRM/contact lists, or other information you upload or provide.
  • Technical Data: Device/browser information, IP addresses, and usage logs.
  • Third-Party Integrations: Data shared via connected CRMs, calendars, or telephony providers.

2. How We Use Information

We use collected information to:

  • Provide, maintain, and improve the Services.
  • Authenticate users and secure accounts.
  • Deliver call routing, voice agent, and reporting functions.
  • Troubleshoot issues, analyze performance, and improve accuracy.
  • Provide support and respond to inquiries.
  • Comply with legal obligations and enforce our Terms.

3. Beta Program Notice

During Beta, the Services are experimental. Features (dashboards, analytics, transcripts) may be incomplete, inaccurate, delayed, or removed. Data retention, processing, and reporting may differ from production systems. You should not rely on Beta outputs as a system of record.

4. Data Retention

  • Call metadata, audio, and transcripts may be retained for up to 30–90 days for troubleshooting and quality assurance.
  • Customer Content is retained as needed to provide the Services or as required by law.
  • We may delete or redact Beta data at any time for operational, privacy, or compliance reasons.

5. Sharing of Information

We may share information with:

  • Service Providers/Sub-Processors: Hosting, telephony, transcription, automation, CRM, and analytics providers.
  • Legal & Compliance: Where required by law, regulation, or legal process.
  • Business Transfers: In case of merger, acquisition, or sale of assets.

We do not sell Customer Content or personal data to third parties.

6. Security

We implement reasonable technical and organizational measures (encryption, access controls, logging, least-privilege). However, because the Services are in Beta, systems may not meet full GA security standards. You use the Services at your own risk.

7. International Transfers

Data may be transferred outside your country, including to the EU, US, or other jurisdictions where sub-processors operate. Transfers will rely on appropriate safeguards (e.g., SCCs).

8. Your Rights (GDPR / Applicable Laws)

Depending on your jurisdiction, you may have rights to:

  • Access, correct, or delete your personal data.
  • Restrict or object to processing.
  • Port your data to another provider.
  • Withdraw consent for optional processing.

9. Customer Responsibilities

  • You must obtain all required consents before providing contact data, call lists, or enabling recording/transcription.
  • You must comply with applicable laws (GDPR, ePrivacy, TCPA, CASL, Do-Not-Call rules, etc.).
  • We are not responsible for compliance failures caused by your data, scripts, or integrations.

10. Limitations & Disclaimers

  • We are not liable for issues arising from Beta Services, including: data loss, inaccurate transcripts, misclassification, downtime, third-party integration failures, or spam labeling.
  • The Services must not be used for emergency calling (e.g., 112/911).
  • AI-generated transcripts or outputs may be inaccurate and are provided "AS IS."

11. Children's Data

The Services are not directed to children under 16. We do not knowingly collect or process children's data.

12. Changes to This Policy

We may update this Privacy Policy at any time. Updates will be posted with a revised "Last Updated" date. Continued use of the Services after changes constitutes acceptance.
